So you thought to yourself that your machine is probably going to sustain you for the next 5 years. Depending on your needs, you may choose to backup your windows registry, or your Outlook Express mail data, or even your windows security keys. Windows operating system-s friendly interface allows you to drag and drop computer files from one storage device to another. And this can be as simple as copying a document file from your desktop into a floppy diskette or thumb drive. But when these files gradually grow overtime, you may need to seek help from archiver utilities such as Winzip which enables you to compact your files into a single compressed file. You can then break up this large file into several pieces to be stored in several mediums such as a span of CD or DVD-Recordable. Winzip also allows you to protect your file with encryption and a software password to prevent any unauthorized access. There are a number of backup methods you could use. What Is Malware Maintenance? Malware refers to any kind of malicious codes, objects or content that infiltrates your computer, resulting in damage and causing your system to act in an undesirable manner. Commonly, these include viruses, spyware, worms, trojan horses, spams and many more. When you-re infected, you can lose your privacy, confidential data and access to your system when software and hardware are damaged. Fortunately, there-re a couple of preventive measures you can take to protect yourself from malware. Firstly, you absolutely require a working Anti-Virus scan running in your computer. This is the only one thing that you should never compromise if you frequent the Internet. Running a system without an Anti-Virus scan is practically risking your computer to 90% of all kinds of software attacks. In some cases, your hardware can fail due to a virus attack. Remember the CIH virus that attacks the computer flash BIOS that resulted in tremendous business damage during 2001? Thankfully, those malicious active content usually lurks in pornographic and hacking websites. So if you can refrain from them, you generally safe. Nevertheless, if it is absolutely necessary to visit these sites, always disable ActiveX content running in your Internet options. Lastly, avoid downloading, executing software or mail attachment that you are uncertain.As a rule of thumb, do not even consider opening an attachment unless the file is from someone you know and the message makes meaningful references to the file. Okay, say you have accidentally downloaded an executable file into your computer and you are pondering if you should run it because a reliable colleague has sent it to you. But you notice that the file has a weird file name such as meetingsxpzss.jpg.exe. But you are told that it is crucial that you read it now. One thing you can do at this point in time is to scan the file for any virus infection before you attempt to open it. If the scan shows nothing, it-s probably a safe file. But then again, it may be a new virus yet to be updated in your virus scan. You can either wait and apply the next virus signature update and perform a second scan or risk it all, cross your fingers and open the file. If you ever decide to do this, you can take an extra step to protect your organization by disconnecting from your network during the process. If you suspect you have been infected, try to remove the spyware of virus immediately before they propagate to harm your entire system or network. Always make it a point to update latest operating system of software patches to shield against any security issues. Disk Maintenance Did anyone tell you that your hard disk is a pretty tricky machine? When you first installed your operating system, you may be pleased to know how smooth and efficient your software applications are running. But gradually, it slows down and this bothers you. What truly causes the dip in performance? You may argue that your disk is just a couple of months old. This has much to do with the way you operate on your system. Try to imagine a big tool bucket filled with gadgets. Initially, the bucket only contains a few spanners, a hammer and some screws. So every time you search for a particular item, it is relatively easy to find. But soon as you keep pilling the bucket with all sorts of items and especially when the amount of items grows, you-ll discover that you may need more time just to search for a particular screw head. Thankfully, Microsoft Windows comes with a couple of useful utilities which helps to solve some of these problems. The disk defragmenter packs your data neatly to facilitate quick accessibility. Disk Cleanup does the job of scanning and removing all redundant temporary files. Unnecessary startup files could also be cleaned up. The next issue is that backup solutions are notoriously difficult to run and manage reliably - no one wants to take day-to-day responsibility for them and all too often they are left failing for prolonged periods. Clearly taking care of your information is paramount to any business and is sensible from a home user’s perspective too. So what is data backup and what are the options these days? Data backup is the act of ensuring your important information (which could be customer contact details for a business or cherished photos for a home user) isn’t only stored in a single place, which leaves it vulnerable to being lost through damage or theft. Since a backup system contains at least one copy of all important data, the risk of total data loss is minimised. And any data loss does not result in a total standstill of the business or heartache for the home user. Using the backup data, the system can be restored and normal service resumed. Finding the right data backup solution can be confusing. It depends on what to backup, how to backup and what type of computer or network is being used. It might sometimes seem difficult to choose the right backup solution. Not because they are difficult to find, but because there are so many of them. For small quantities of data you can consider simply copying it to a CD or a memory stick; both are cheap and easy to use. The main problems with these are that they are limited in what you can store and more importantly you have to physically remember to make the copy and then file it appropriately. For larger quantities it is recommended that a local backup is made to another system such as a Server or an external hard drive. This protects you from the most common data loss issue - hardware failure. Your entire system is stored on an hourly, daily or weekly basis to a permanently connected independent disk, ready to be restored at any time. Depending on how sophisticated the solution is, you may be able to quickly search for and retrieve individual files that have been accidentally deleted… Data Backup isn’t just for total system failures! To guard against major disasters such as flood or fire, where your entire office or computer room is destroyed, off-site storage is required. There are two ways in which you can do this. You can sign up to a service that automatically creates a backup of your critical files over the internet to a secure off-site location. Alternatively, or in addition, you can take a manual backup which stores a password protected image of your entire system onto portable disk drives that are taken off site on a rotational basis. The main advantage of this is that a complete system can be more rapidly restored than from a backup of only files and folders. Choosing a backup system, setting it up and then managing it can be a complicated undertaking. If you decide to use on of these then you need not worry about the technicalities, process or intricacies of the data backup procedure. One thing is certain, if you don’t arrange to have a data backup, it is not a case of if you lose your data but when, and the consequences will be at least upsetting or in the case of a business, could be catastrophic. Don’t delay, act now! Software Escrow : I was arranging for some a custom software package to be written for my organization, and someone asked if I'd arranged for "software escrow". What is that, and why would I want it? Getting someone to write software for you can result in a wonderful, custom solution to your problem. It can also incur a significant amount of risk if things go wrong. Software escrow is one way of protecting you in certain types of projects when certain things go wrong. When you contract out for software to be written for you, there are several decisions that are part of the process. One that's often overlooked is whether or not you get a copy of the source code when the project is done. The source code is the collection of written instructions that the programmer actually writes to create a program. For many types of programs, the source code is then transformed into the "executable" that you actually run. For example "notepad.exe" is a executable program that comes with Windows. Somewhere back at Microsoft they keep the written instructions, or source code, that the programmers used to create it. Open source software projects make the source code publicly accessible. Anyone with enough knowledge can create the software executable using the source code. Closed source, or "proprietary" software is just the opposite ... the source code is not available publicly, only the executable. Companies use this approach to retain their intellectual property, and trade secrets. When you contract with someone to write software for you one decision, implied or explicit, is whether the source code belongs exclusively to the developer, or whether you get a copy. If you do, you have the safety of being able to have someone else make changes or fix bugs in the future, but the developer is giving up some of his or her potential control of that software. If the developer retains the source code and you don't have access to it, then you are dependant on the developer for all future updates. Typically developers will charge more if you get the source code. It's common to opt for the cheaper option, or to have the developer simply not give you the option. So what happens if your developer goes out of business? What if all of the source code simply disappears? That's where software or source code escrow comes into play. As part of arranging for your software to be written, you and the developer can agree that a copy of the source code will be given to a neutral third party - an escrow agent. The agreement would then specify under which conditions that agent would be allowed to release the source code to you. For example one of the conditions might be the developer's bankruptcy or going out of business for other reasons. By using software escrow, the developer is protected as long as it makes sense for them to retain control, and you are protected should the developer disappear. (Naturally other conditions might trigger the release, but the developer's going out of business is a clear example.) Software escrow is not fool proof. For example, what happens if the escrow agent goes away? And escrow typically adds some cost to your transaction.
